Dispatch Operations :
- Negotiating Rates with Brokers : Communicating with brokers to secure loads and negotiate rates.
- Utilizing and Optimizing Dispatch Software : Becoming proficient in and leveraging the features of transportation management systems (TMS).
- Planning and Scheduling : Strategically planning and scheduling truck routes and delivery appointments, considering factors such as driver availability, equipment capacity, delivery deadlines, traffic conditions, and regulations (e.g., hours of service).
- Load Assignment : Assigning appropriate drivers and equipment to specific loads based on factors like driver qualifications, equipment suitability, delivery requirements, and geographic location.
- Communication with Drivers : Providing clear and concise dispatch instructions, load details, route information, and any necessary updates to drivers via phone, radio, or electronic communication systems.
- Real-Time Monitoring : Tracking the location and progress of trucks and shipments using GPS or other tracking systems, proactively identifying and addressing potential delays or issues.
- Problem Solving and Issue Resolution : Effectively handling unexpected situations such as traffic delays or delivery issues, and implementing solutions to minimize disruptions.
- Customer Communication : Providing timely updates to customers on shipment status, estimated delivery times, and proactively communicating any potential delays.
- Data Entry and Record Keeping : Maintaining accurate and up-to-date records of dispatches, driver assignments, delivery confirmations, equipment status, and any incidents or delays in dispatch software or logs.
Compliance and Safety :
Ensuring Regulatory Compliance : Adhering to all relevant transportation regulations, including hours of service (HOS) rules, Department of Transportation (DOT) regulations, and safety guidelines.Coordinating Equipment Maintenance : Communicating equipment issues reported by drivers to the maintenance department and coordinating necessary repairs or maintenance schedules.Efficiency and Optimization :
Maximizing Equipment Utilization : Strategically planning loads to minimize empty miles and optimize the use of available trucks and trailers.Performance Monitoring : Tracking key performance indicators (KPIs) related to dispatch operations, such as target rate per mile and weekly revenue targets.Communication and Coordination (Internal) :
